The Complete Mentoring Software Integration Checklist

The Complete Mentoring Software Integration Checklist

What’s Inside

Seven integration categories to check

1. HRIS & People Data — Everything downstream depends on clean, current employee data flowing automatically.

2. Identity & Access (SSO / SCIM) — Frictionless, IT-governed access is what turns a launch into adoption.

3. Learning & Development (LMS) — Mentoring should reinforce your development strategy, not sit in a silo beside it.

4. Communication & Collaboration — Participation lives where employees already work — not in yet another app.

5. Video & Calendar — Removing scheduling friction is the difference between booked sessions and no-shows.

6. Security & Compliance — At enterprise scale, procurement and IT will vet every vendor — clear this bar first.

7. Reporting & Analytics — If you can’t measure it across the organization, you can’t prove ROI or scale it.

How To Use This Checklist

Check off each capability your shortlisted platform can genuinely deliver today. Every item is tagged by priority:

Must-havea dealbreaker for enterprise rollout. A gap here creates manual work or risk at scale.

Recommended strengthens adoption and efficiency, but can be phased in.

Read the “Watch out for” note in each category — these flag the shortcuts weaker vendors take. Bring the completed checklist to your demos and ask each vendor to prove every item live.

HRIS & People Data

Everything downstream depends on clean, current employee data flowing automatically.

Capability

Priority

Bi-directional sync — program data flows back into your HRIS, not just a one-way export.

Must-have

Automated updates to employee records: role, department, manager, and location.

Must-have

Native support for your HRIS: Workday, SAP SuccessFactors, Oracle, ADP, UKG, BambooHR, or Paycor.

Must-have

Org-structure awareness so matching respects business units, hierarchy, and geography.

Recommended

A sync cadence you control — real-time or scheduled.

Recommended

Watch out for: One-way data export marketed as “integration.” Ask specifically whether program outcomes sync back into your HRIS, not just out of it.

Identity & Access (SSO / SCIM)

Frictionless, IT-governed access is what turns a launch into adoption.

Capability

Priority

SSO / SAML support with your identity provider (Okta, Azure AD, and similar).

Must-have

One-click access for employees — no separate login to remember.

Recommended

SCIM provisioning for automated user onboarding at scale.

Must-have

Automatic deprovisioning the moment an employee leaves.

Must-have

Central, IT-governed access control rather than tool-by-tool management.

Recommended

Watch out for: “SSO support” that sits behind a premium tier or needs manual user setup. Confirm SCIM and auto-deprovisioning are included, not paid add-ons.

Learning & Development (LMS)

Mentoring should reinforce your development strategy, not sit in a silo beside it.

Capability

Priority

Integration with your LMS, including Cornerstone.

Recommended

Mentoring surfaced alongside other development activity in one place.

Recommended

Shared reporting so mentoring counts toward your L&D metrics.

Recommended

A single, connected view of each employee’s development.

Recommended

Watch out for: Integrations that only pass completion status. Ask whether mentoring data actually enriches the employee’s full development record.

Communication & Collaboration

Participation lives where employees already work — not in yet another app.

Capability

Priority

Native Slack integration for in-flow nudges, scheduling, and check-ins.

Must-have

Microsoft Teams integration for the same, without leaving the workspace.

Must-have

Notifications and reminders delivered inside daily tools.

Must-have

Reduced reliance on email-only engagement to drive activity.

Recommended

Watch out for: A “Slack app” that only posts notifications. Confirm employees can actually schedule and act inside the tool, not just receive alerts.

Video & Calendar

Removing scheduling friction is the difference between booked sessions and no-shows.

Capability

Priority

Zoom, Webex, and Microsoft Teams support for one-click mentoring sessions.

Must-have

Auto-generated meeting links tied to each scheduled session.

Recommended

Google Calendar and Outlook / Microsoft 365 integration.

Must-have

Two-way availability sync to prevent double-booking.

Recommended

Automated session reminders across calendar and comms tools.

Recommended

Watch out for: Manual link-pasting dressed up as integration. Confirm meeting links generate automatically and reminders fire without admin effort.

Security & Compliance

At enterprise scale, procurement and IT will vet every vendor — clear this bar first.

Capability

Priority

SOC 2 Type I & II certification.

Must-have

GDPR compliance with regional data-residency options.

Must-have

A documented data-governance and privacy policy.

Must-have

Encryption of data in transit and at rest.

Must-have

A track record of passing enterprise procurement and security reviews.

Recommended

Watch out for: SOC 2 “in progress” or Type I only. For enterprise employee data, require a current Type II report you can actually review.

Reporting & Analytics

If you can’t measure it across the organization, you can’t prove ROI or scale it.

Capability

Priority

Program-level and organization-wide analytics in one dashboard.

Must-have

Outcome and ROI measurement across departments and populations.

Must-have

Exportable data that flows into your BI tools or HRIS.

Recommended

Multi-program and multi-geography reporting.

Recommended

Watch out for: Dashboards that look good but won’t export. Confirm you can pull raw data into your own BI stack, not just view it in-app.

SCORE YOUR STACK

Read your result

Count the Must-have boxes you could NOT check for your current platform or shortlisted vendor. That number is your integration risk.

0

Ready to shortlist. Your stack (or this vendor) can support mentoring at scale — focus your evaluation on depth and support.

1–3

Close these gaps first. Each unchecked Must-have becomes recurring manual admin. Prioritize them before signing.

4+

High integration risk. Expect significant manual work and adoption drag at scale. Re-scope your requirements or shortlist.
