Steps to launch your program with Qooper

Admin setup, program setup, IT setup, let's cover all here on your steps to launch!

 

Step 1: Consulting Call with your dedicated Customer Success Manager that has experience with 200+ mentoring programs

  • Alignment on program goals – what is making the client start this program, what employee outcomes do we expect?
  • Scalability goals - how we look to grow the program
  • Program Structure Template recommendation by Qooper for
    • Profile questionnaire

    • Structure recommendations
    • Training content
    • Facilitation steps
    • Survey questions
    • News reminder
    • Kick-off event outline
  • Uploading values, tags

Step 2: Applicable integrations with IT-supported by Qooper teach team and customer success 

  1. whitelist noreply@qooper-mail.com 
  2. Permissions to Office 365/GSuite, Slack/Microsoft Teams
  3. SSO Integration
  4. HRIS integration if applicable
  5. LMS integration if applicable

Instructions for each step will be provided to IT and access to technical lead from Qooper is provided.

Step 3: Program Design 

  • Review Profile Form Questions - edits can be made to collect appropriate data for user
  • Program - Set program weights, badge requirements, mentoring duration 
  • Groups - Group mentoring based on common skills and interests
  • Steps - Meeting Facilitations notifications with agenda topics
  • Learning - Review lesson content provided by Qooper 

Step 4: Promotion & Configuration

Email template to generate excitement and motivation for the program: Promotional Email Template

Promote on Intranet, Internal Social Media, Online Community - optional landing page in Qooper.

  3. Quotes of encouragement, video, etc.
  4. Video for motivation
  5. Letter from senior leader (champion) (why program is launching, their experience with mentorship and , expected outcomes)
  6. Program outline (Steps) & Commitment

  8. FAQ & Program manager contact information

Step 5: Invite mentors and mentees to join Qooper via the Deep Links in the Materials section of the admin dashboard. One link for mentors and one link for mentees. 

Step 6: Matching algorithm is ran to match mentors and mentees.

  • Bulk Suggest from Materials section of admin dashboard
  • Manual search and match from Materials section of admin dashboard 
  • Mentor/mentee self-search 

Step 7: Kick-off event & Mentor-Mentee meet each other in breakout rooms

  • Program Goal
  • Roles & Expectations
  • Example Mentor with Q&A (Story, why important, positive, negative)
  • Relationship Duration, meeting frequency, goals, feedback
  • Platform demo to create a vision
  • Breakout rooms during the virtual meeting to for 1:1 meetings and mentors and mentees getting to know each other!

Step 8: Review reporting and measurements to see success in your program. 

  • Export from Matching section give you user by user review
  • Measurements- Skills Gap graph shows specialties and interests mentors vs. mente. Tag Based Measurement shows current overall tagged activities.
