Recurring Meetings in Qooper

Recurring Meetings allow participants to schedule repeating mentoring meetings that stay synced across calendars, video tools, and activity tracking. 


1. Recurring Meetings with Calendar & Video Integrations

Users can schedule, update, and cancel recurring meetings with full support for Google Calendar, Outlook, and Zoom.

  • Meeting details, recurrence rules, and video links stay synced across platforms

  • All meeting occurrences are managed automatically

  • Reduces the need to manually schedule each session

How it works:
When creating or editing a meeting, users select recurrence options and choose their preferred integrations. Qooper handles the rest.

2. Updating Recurring Meetings (Single vs Future Meetings)

Users can easily control how changes apply to recurring meetings.

  • Edit only this meeting or this and all following meetings

  • Changes to recurrence settings create a new meeting series when needed

  • Qooper automatically recalculates the meeting series and occurrence count

Important limitation:
Recurring meetings cannot be changed to non-recurring meetings.
This limitation comes from Google and Outlook calendar behavior.

3. Admin Dashboard & Activity Timeline Visibility

Recurring meetings are fully reflected in the Activity Timeline.

  • Each meeting occurrence appears in activity tracking

  • Admins can view recurring meeting activity alongside other program actions

4. Why Recurring Meetings Can’t Be Changed to Non-Recurring

To protect data accuracy and prevent confusion:

  • Users cannot convert a recurring meeting into a one-time meeting

  • Prevents accidental data loss across calendars and reports

  • Ensures consistent tracking across integrations

If a one-time meeting is needed, users should create a new standalone meeting instead.

Recurring meetings improve consistency and engagement, especially for long-term mentoring programs. Encourage participants to use them for regular check-ins or milestone-based sessions.
